When an off-the-shelf tool is enough

Products such as Sortly and Wasp already handle item lists, locations, photos, and barcode scanning. If one of them fits the way your stock moves, use it. It will be faster and cheaper than a custom build.

Signs you have outgrown it

Custom inventory software is worth a conversation when:

  • Items need a status, not just a count: on hold, waiting for inspection, or reserved.
  • The next person cannot see the exception that should stop them.
  • Your rules depend on your process, and the tool cannot express them.
  • Stock lives in a spreadsheet, an app, and a clipboard at the same time.
  • The floor and the office need different screens for the same items.

What the warehouse project does

For a disaster-relief nonprofit, bins, donation lots, and holds share one warehouse screen. Phone screens at the dock scan a lot, hold a cold chain, and keep product with a missing photo from moving. A hold stays visible across shifts instead of leaving on a clipboard.

That project handles donated goods, but the same problem shows up in small businesses: stock whose status matters as much as its count.

What we plan before the build

We follow an item through:

  • How items or lots are identified, such as barcodes or labels.
  • Locations, statuses, and who moves stock between them.
  • Holds, approvals, and what has to stop the next step.
  • Devices, scanners, and connectivity on the floor.
  • Existing spreadsheets and data to bring across.
  • Reports and connections to other systems.

Questions before a build

Can it scan barcodes?

The warehouse project scans lots on phone screens at the dock. Your labels, devices, and any dedicated scanners are agreed at the start rather than assumed from that example.

How much does custom inventory software cost?

The warehouse platform was about $50,000 to build and $2,000 a month for care. A smaller first version for one location and one workflow can cost less. Those are project figures, not a quote.

Is this only for nonprofits?

No. The published project is a nonprofit warehouse, and there is a separate page for donated goods. Businesses with their own stock and handoffs are welcome.

Will it work offline or connect to accounting software?

Those are requirements to discuss, not features established by the warehouse project. Include them in the brief so they are part of the scope and estimate.
